1) Office Maintenance:
- Report and coordinate repairs for air conditioning, lighting, plumbing, and cleanliness.
- Schedule routine maintenance tasks and ensure a well-maintained office environment.

2) Petty Cash Management:
- Coordinate fund requests, update petty cash records, and handle purchases.
- Arrange fund deposits and ensure accurate balance reconciliation.
- Collaborate with the finance department for monthly reporting.
3) Pantry & Stationery Management:
- Conduct biweekly checks, restock stationery, and manage supplies.
- Plan and execute pantry and stationery purchases within designated timelines.
4) Birthday Celebrations:
- Allocate a budget for staff birthday presents and obtain necessary approvals.
- Coordinate monthly birthday celebrations and send congratulatory messages.
- Maintain a record of staff birthdays and ensure timely reminders.
5) Mobile Allowance Setting:
- Facilitate new joiner registrations and coordinate monthly verification processes.
- Liaise with relevant departments for accurate mobile allowance allocations.
6) Parking Arrangements:
- Coordinate parking card renewals and communicate with the finance department.
- Collect parking cards and handle payment processes for all staff members.
7) Name Card Printing:
- Assist with creative requests, including printing and distribution of materials.
- Liaise with the creative team and external vendors to ensure timely completion.
8) Access Card Management:
- Coordinate the setup of access cards and collaborate with relevant team members.
- Support the distribution and maintenance of access cards.
9) Visitor Assistance:
- Greet and welcome visitors.
- Provide necessary guidance and support throughout their visitation process.
- Ensure visitors' needs are met and address any inquiries or concerns promptly.
10) Document Submission and Registration:
- Visit government agency offices or designated locations to submit required documents on behalf of our organization.
- Ensure accurate and timely submission of paperwork, applications, or registrations.
- Follow up on the status of submissions and resolve any issues or inquiries.
11) Event Planning and Coordination:
- Conceptualize, plan, and organize company events, including team building activities, annual trips, and annual dinners.
- Develop event themes, schedules, and budgets in collaboration with relevant stakeholders.
- Coordinate logistics such as venue selection, catering, transportation, and accommodation arrangements.
Requirements:
- Posses own transport.
- Strong organizational and multitasking skills.
- Attention to detail and accuracy in handling administrative tasks.
- Effective communication and coordination abilities.
- Proficiency in using Google Docs, Google Sheets and others.
- Prior experience in administrative or office management roles is preferred.
