Event and Client Service Co-ordinator [South Africa]


 

Event Co-ordinator Job description:

· Maintain the company’s existing relationships with a client/ group of clients so that the clients continue to engage with POP Logistics in a sustainable and positive manner

o Managing the relationship with the client to high standards

o Interface with client and account co-ordinators

o Identifies and anticipate client requirements

o Determine availability and promotion of company services

o Mediates process, resolves issues

o Executes within the service level agreement

o Play major role in providing client consultation

o Knowledge and awareness of clients’ organisation and structure

o Staying aware of client news and changes

o Maintenance of client records and updating of changes

o Communicates, monitors billing procedures

o Establishes and promotes goodwill with customer

o Reviews client history and contacts customer as follow up activity

o Financial controls and ensuring responsible budget management at all levels

o Analyse and interpret key account performance information and ensure daily, weekly and monthly monitoring of relevant performance metrics

· Receive Client Planning requirements and translate into actionable, understandable distribution plans with realistic close off as required

· Self-measurement on service levels and presentation to line manager

· Act as a point of contact for ensuring excellence and accuracy in distribution feedback to client issues

Work Order Facilitation specific to this role

· Engagement in a variety of tasks including:

o Project management

o Co-ordination

o Strategic planning

o Relationship management

o Negotiation

o Leadership

o Innovation

· Ensuring that all outbound and inbound jobs are processed, actioned, and delivered on time according to orders placed by clients.

· Actioning quote requests from client suppliers for repairs and liaising with client on repairs required.

· Reports and updates to clients on items missing or damaged from events.

· Direct email and telephonic communications with client and client suppliers

· Ensuring that all quotes submitted to clients are closed off with PO from client for invoicing

· Liaising with client and suppliers in the event of a call-out – both during office hours and after hours

· Tracking after hours and weekend installations and collections

· Running an Events Calendar and ensuring accuracy

· Ensuring data accuracy

· Ensuring that stock is cared for and kept safe

· Checking of POP Equipment and ensuring regular maintenance is performed

· Using a triage system for event prioritization and coordinating equipment for the events

· Reporting on damages monthly

· Reporting on redundant items monthly

· Ordering of consumables and tracking the use of consumables

· Contact sessions with AB INBEV quarterly

· Weekly planning session with EM’s

Job Type: Full-time

Salary: R15,000.00 per month
